Troop Committee and Adult Leader Roles

Troop Committee Members and Adult Leaders are essential to the functioning of the troop. This rewarding experience allows adult volunteers to facilitate in the planning of and participate in troop events and activities. Troop Committee positions have varied responsibilities that fit with a wide variety of talents and skills.

Troop Committee Members and Adult Leaders must have current Youth Protection Training. Additionally, some positions require Position Specific Training through Scouting America. To inquire about volunteering for the Troop Committee or as an Adult Leader, please email the Committee Chair.

Position Descriptions:

Scoutmaster (SM) – The SM is responsible for the safe and educational execution of activities and events. They assists the SPL in leading the weekly troop meetings and the monthly PLC meetings. They assure that of the Youth Leadership roles are filled and that the duties and responsibilities are carried out by appropriate scouts. The SM attends the monthly Troop Committee meetings and communicates regularly with the Committee Chair.

Assistant Scoutmaster (ASM) – The ASMs assist the SPL and SM in the safe and educational execution of activities and events. They attend weekly meetings, serve as Patrol Guides, assist scouts with advancement, and attend campouts/outings.

Committee Chairperson – The Committee Chair acts as a liaison between the Troop, the charter organization, and the local council. Additionally, the Committee Chairperson leads the monthly Troop Committee meetings, keeps the Committee positions filled, ensures that the duties and responsibilities are carried out by the appropriate Committee Members, in addition to preparing and submitting the annual Troop charter.

Treasurer – The Treasurer attends monthly Troop Committee meetings to provide a summary of the financial status of the Troop. They help with the troop with budgeting, collection of dues and fees, managing members’ cookie jar accounts, and payment of troop funds as needed.

Secretary – The Secretary attends monthly Troop Committee meetings, keeping a record of the minutes of each meeting to be sent out to the committee members within one week of the committee meeting. Additionally, they maintain the Troop’s Open Resource repository (access restricted) on Google Drive.

Eagle Scout Coordinator – The Eagle Scout Coordinator attends monthly Troop Committee meetings to update the Committee on Eagle progress and projects. They also attend the weekly meetings to check in with, advise, and encourage Life Scouts working on their Eagle rank.

Advancement Coordinator – The Advancement Coordinator attends monthly Troop Committee meetings to update the Committee on Troop advancement. They keep advancement records, order, pickup, and package Scout recognition awards, and work with youth to coordinate and plan the quarterly Troop Courts of Honor as well as Eagle Courts of Honor, as needed.

Equipment Coordinator – The Equipment Coordinator attends the Committee meetings to update the Committee on status of Troop equipment. They aid the troop Quartermaster in properly maintain and accounting for troop gear and propose new equipment needs to the Committee as needed.

New Member Coordinator – The New Member Coordinator attends the Committee meetings to update the Committee on membership and recruitment issues. They serve as a liaison between the Troop, local Cub Scout Packs, and the District Recruitment Chair. Additionally, they welcome new scout families, making sure to provide them with helpful resources, such as the Troop Guidebook, and coordinate an annual New Member meeting to explain troop rules and regulations to the Parents and Guardians of new youth.

Fundraising Coordinator – The Fundraising Coordinator attends monthly Troop Committee meetings to provide updates on Fundraising activities. They coordinate with the Troop on any special fundraising activities and with the Popcorn Kernel on the annual popcorn sale through the council.

Popcorn Kernel – The Popcorn Kernel attends monthly Troop Committee meetings to deliver information from the council regarding the annual Scouts BSA Popcorn Sale.

Outdoor Activities Chair – The Outdoor Activities Chair attends monthly Troop Committee meetings to provide updates on upcoming events and outings. They manages the logistics for troop outings and activities, including site reservations, buying tickets, estimating costs, etc. Then ensure each outing has sufficient adult leadership attending to supervise and chaperone.

Public Relations Coordinator – The Public Relations Coordinator attends the monthly Troop Committee meetings to provide updates regarding the Troop website, social media, and development of Troop materials (such as the Troop Guidebook, informational brochures, fundraising event flyers, etc.)

Committee Members – General Committee Members are encouraged to attend the monthly committee members so that they can stay informed about Troop activities, learn about upcoming activities, find opportunities to give their support , and sometimes
